This is why most people end the day thinking \u201cI didn\u2019t get as many things done as I thought I would today\u201d. That\u2019s because of unplanned work.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-89194f7671ba9a295148a29b42ca1b12\">The&nbsp;<a href=\"https:\/\/www.axiossystems.com\/service-desk-software\" target=\"_blank\" rel=\"noreferrer noopener\">service desk<\/a>&nbsp;is no different. Unplanned work steals time from the day. Sometimes it\u2019s a catch-22 situation: A stream of incident calls about a certain issue get in the way of the planned work to solve that issue once and for all.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-5ba397a4663c8e624421b909bdb50315\">The question is this: What can you do about it?<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-171a12ab8702fa46609a8dd39cda49b8\">The first step is to work out what \u201c<em>it<\/em>\u201d is. What types of unplanned work are getting in the way? How frequent are they? Which are the biggest problem here? You need visibility of the volume of different issues, requests and inquiries that come into the service desk.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-4aa4afe245902e3970ab3b6e6261ab5b\">Then you can think about what\u2019s causing this unplanned work, and how you can prevent or divert it. This is where you begin to turn a corner from being a&nbsp;<em>reactive<\/em>&nbsp;service desk to be a&nbsp;<em>proactive<\/em>&nbsp;service desk. Unplanned work makes you reactive. Planned work makes you proactive.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-580b15a2dbec4996a476e89966adf4ae\">With each type of&nbsp;<em>unplanned<\/em>&nbsp;work as a trigger, you are&nbsp;<em>planning<\/em>&nbsp;work to eliminate the unplanned work. One job done now means many jobs don\u2019t need to be done later. This isn\u2019t new. The phrase&nbsp;<em>\u201ca stitch in time saves nine\u201d<\/em>&nbsp;is 300 years old.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-bf31aa78a3a9fe79f53d3189e282029c\">Once you have a handle on the types and volume of break-fix work which is tying up your service desk, you will be able to prioritize and analyse the various challenges. The blend of issues flowing into each service desk will be different, but there are a number of proven solutions which can be easily matched up to the challenges:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-db2ea566a42cd4c1023caeb1074bc48d\">If service failures caused by\u00a0<a href=\"https:\/\/www.axiossystems.com\/event-management\" target=\"_blank\" rel=\"noreferrer noopener\">infrastructure problems<\/a>\u00a0dominate your list of unplanned work, your service desk will be spending time working on\u00a0<em>failure streams\u00a0<\/em>(activities to recover services back to a state where value is available). Use the\u00a0<a href=\"https:\/\/blog.ifs.com\/blog\/whats-new-in-itil-4\" target=\"_blank\" rel=\"noreferrer noopener\">ITIL 4<\/a>\u00a0<a href=\"https:\/\/blog.ifs.com\/blog\/what-is-problem-management\">Problem Management<\/a>\u00a0practice guidelines to resolve these and stop these stream of unplanned work.<\/li>\n\n\n\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-109a5b445ca8aac626b4ad98e585e42f\">If your service desk staff are bogged down with service requests, you will need to \u201cget in front of it\u201d. If you define value streams (activities to fulfil service requests) in your\u00a0<a href=\"https:\/\/www.axiossystems.com\/service-desk-software\" target=\"_blank\" rel=\"noreferrer noopener\">service desk solution<\/a>, automate the process steps, and enable IT customers to trigger the process from an\u00a0<a href=\"https:\/\/www.axiossystems.com\/service-catalogue-software\" target=\"_blank\" rel=\"noreferrer noopener\">IT Service Catalog<\/a>, future service requests will flow\u00a0<em>past<\/em>\u00a0the service desk and do not materialize as unplanned work.<\/li>\n<\/ul>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-d520ef4b3b4d6a098e13d62c0eeaf652\">These are just two very high-level examples of unplanned work and the strategies to deal with them. You will need to identify and analyse the types of unplanned work that are getting in the way of&nbsp;<em>your<\/em>&nbsp;service desk<em>\u2014<\/em>which will require some simple reporting to show your most frequent call categories ranked by volume per month. This will give you the insight you need on where to focus attention first.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-c8d54ac3548261e03f3d75277a396285\">By eliminating a chunk of unplanned work, the service desk can reclaim a surprising amount of time for service improvement initiatives, training,&nbsp;<a href=\"https:\/\/www.axiossystems.com\/en-gb\/it-service-management\" target=\"_blank\" rel=\"noreferrer noopener\">ITSM toolset<\/a>&nbsp;implementation work, knowledge capture, and contributing to IT projects which push the organization\u2019s digital agenda forward.<\/p>\n\n\n\n<p>SOURCE:<em> <\/em>Hannah Mandapat (2022 September 8) Service Desk Challenges: Planned vs Unplanned Work.
