HOW TO APPLY MISSION-BASED PRIORITISATION TO IT"},"content":{"rendered":"\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-4c71cafb894ea860e7d3baf5efe04383\">Every IT team in the world has too much work to do\u2014so the ability to prioritise properly is critical. So how do we define&nbsp;<em>proper prioritisation<\/em>? And who should decide what gets prioritised?<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-da9506340c6f59bee6765e7fb8512623\">Hint: Connect it to your business mission.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-5e3d40170c6e8ba2b7f45c3348909d9d\">The clue is in the title:&nbsp;<em>mission-based<\/em>&nbsp;prioritisation. The work that IT is doing (whether it\u2019s planned or unplanned work) should always be prioritised according to the needs of the&nbsp;<em>business mission<\/em>. That means IT people and business stakeholders need to work together to create a mutual understanding of priority levels and how the work that IT does maps to these levels of business priority. A mission-based priority model is a mechanism for business-IT-alignment. It is a manifestation of the&nbsp;<a href=\"https:\/\/blog.ifs.com\/blog\/itil4-focus-on-value\" target=\"_blank\" rel=\"noreferrer noopener\">Focus on Value principle of ITIL 4 as well<\/a>&nbsp;as well as the&nbsp;<a href=\"https:\/\/blog.ifs.com\/blog\/itil4-collaborate-and-promote-visibility\" target=\"_blank\" rel=\"noreferrer noopener\">collaborate and promote visibility principle<\/a>.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-c0c8d1caa6b4df4db7dc8d271ef25379\">What is needed is a simple prioritisation model that:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-5ef4c4d7fbaafd2007e5bfecd94b53eb\">Makes business sense so that business people can understand the model and recognise the individual levels<\/li>\n\n\n\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-4953e388bb59a828b0861dfc8f6b3b06\">Can be used by IT people to quickly identify the business priority of an issue<\/li>\n\n\n\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-fc6945c9105af35cfd32531f78518fa5\">Can be encoded into an ITSM tool to automatically identify priority levels<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading has-light-black-color has-text-color has-link-color wp-elements-a00e7958d6c2d239770f266fc4d9b420\"><strong>Priority Matrix Model<\/strong><\/h4>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-f062ef389efecd78b1cb35904246d15a\">ITIL 4 guidelines (based on established best practice in large and small organizations across the globe) recommend a two-dimensional matrix to model priorities:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"605\" height=\"318\" src=\"https:\/\/track.com.tr\/wp-content\/uploads\/2026\/01\/image-19.png\" alt=\"\" class=\"wp-image-5687\" srcset=\"https:\/\/track.com.tr\/wp-content\/uploads\/2026\/01\/image-19.png 605w, https:\/\/track.com.tr\/wp-content\/uploads\/2026\/01\/image-19-300x158.png 300w\" sizes=\"auto, (max-width: 605px) 100vw, 605px\" \/><\/figure>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-723b504732123132fc09039b2721798e\"><strong>IMPACT is the \u201cscale\u201d dimension<\/strong>: How widespread is the issue having an effect? Is it one individual, a team, a department, a campus, or everyone in a global organisation? Some organizations call this \u201cSeverity\u201d, but the official ITIL 4 term is \u201cImpact\u201d (probably because it conjures up an image of a blast radius). It makes perfect sense that if a whole customer service team\u2019s CRM system is down, that should be treated as a higher priority than one agent going offline.<\/li>\n\n\n\n<li class=\"has-light-black-color has-text-color has-link-color wp-elements-e1244575e7fbf6075ae4cc16c6cb4f19\"><strong>URGENCY is the \u201cdamage\u201d dimension<\/strong>: What is the impact on\u00a0<em>mission\u00a0<\/em>achievement? Is a core business service which directly supports the business mission down? Is it stopping people from working? Has the supply chain stopped? Are shipping targets being missed? Or is it a supporting service that has no direct impact on revenue generation? Going back to our customer service team example, if customer agents are completely unable to help customers with their requests, the damage to the company\u2019s brand could be extensive. The economic damage of an annoying printer fault will be near-zero.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading has-light-black-color has-text-color has-link-color wp-elements-bab19873476b3558854f0a81cfd4d68e\"><strong><strong>So why is it a 3\u00d73 matrix?<\/strong><\/strong><\/h4>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-6e76dd314bd0732dde40481c92886d63\">A priority matrix shouldn\u2019t be overly complicated, or it won\u2019t work. Complexity causes confusion. People abandon models they find confusing. It\u2019s really important that there are clear lines between the levels in the matrix\u2014otherwise people (or ITSM system rules for automated prioritisation) won\u2019t know how to map issues\/requests to priority levels accurately and consistently.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-7ebaac06967a3247374b73758fceb920\">Like the diagram above, you could choose a simple 3\u00d73 model, with the impact levels being represented by individual\/group\/all. Or you could apply a 3\u00d75 model, with impact represented as individual\/team\/department\/campus\/global. It\u2019s up to you, but you should have a strong reason as to&nbsp;<em>why<\/em>&nbsp;you are deviating from the most simple form of the model.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-40e7f5f10528fcfa3a09820fc2f14c3e\">Albert Einstein once said,&nbsp;<em>\u201cIt can scarcely be denied that the supreme goal of all theory is to make the irreducible basic elements as simple and as few as possible without having to surrender the adequate representation of a single datum of experience.\u201d<\/em><\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-c6dde50b20300b18ccbf7b8e772215af\">This is commonly paraphrased as:&nbsp;<em>\u201cEverything should be made as simple as possible, but no simpler.\u201d<\/em><\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-42343e25a1274ddedff41ab18b6384e3\">If a service desk agent is looking at an issue and can\u2019t easily decide which box it fits into, your model is probably too complicated. If an ITSM tool cannot easily look at impact\/urgency indicators and automatically set the priority level, your model is probably too complicated.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-665598dc6a93d200487db24a5aed8cd3\">What you really&nbsp;<em>don\u2019t<\/em>&nbsp;want is people\/ITSM tools tagging issues with the wrong priority levels\u2014because your people will be working on the wrong things. That\u2019s why it\u2019s important to define a clear model and then automate prioritisation based on the information logged in your&nbsp;<a href=\"https:\/\/assyst.ifs.com\/solutions\/it-service-management\" target=\"_blank\" rel=\"noreferrer noopener\">ITSM tool<\/a>. Once automated, you remove the scope for human error and you can be confident that work is being prioritised correctly, every time. Manual prioritisation and routing of issues are two things that IT people shouldn\u2019t be spending time on. If you\u2019re service desk team are doing this,&nbsp;<a href=\"https:\/\/www.axiossystems.com\/contact-us\" target=\"_blank\" rel=\"noreferrer noopener\">talk to us<\/a>&nbsp;about how we can automate both for you in just a few days.<\/p>\n\n\n\n<h4 class=\"wp-block-heading has-light-black-color has-text-color has-link-color wp-elements-460da9ca4f94f40d90b701fc0074a91d\"><strong><strong>Can I use a 2\u00d72 matrix instead of 3\u00d73?<\/strong><\/strong><\/h4>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-3ec78094797341f1770300cecfc12a65\">You need to be able to divide work into manageable chunks so that your people can focus attention: they need a small pile of high-priority tasks to focus on, separated out from the other piles of medium and low-priority work.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-4508311709f614ca4f6446ffab6bac48\">A 2\u00d72 matrix will give you an unmanageable number of top priority issues. Then, you\u2019re back in a situation you started from: you can\u2019t see the wood for the trees.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-e3c79014921077dd3c05f5aa47ff3eb3\">The question is this:&nbsp;<em>What should I be working on right now?<\/em><\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-e4a62144c4208e9becf290b0866afbeb\">If it takes a few minutes of scanning your top priority work queue to answer this question, it\u2019s time to refine the granularity of your prioritisation model. Think of the time wasted between every task. This should take seconds.<\/p>\n\n\n\n<h4 class=\"wp-block-heading has-light-black-color has-text-color has-link-color wp-elements-7bae39e8836c72730088f647824f5da9\"><strong><strong>Conclusion<\/strong><\/strong><\/h4>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-328d29eea129af3f438ffc23b41d82da\">Prioritisation of work is more important to an IT department than virtually any other\u2014because IT issues can have a knock-on effect on the productivity of the whole organisation.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-5cda00de18cc8f1b4e3cbf3b7c83a69d\">That\u2019s why it is so critical to have a clear model that represents all of the types of issues that IT is facing in a way that IT people and business stakeholders can understand.<\/p>\n\n\n\n<p class=\"has-light-black-color has-text-color has-link-color wp-elements-d63f339b63effca718ebf42105c359fd\">If your work queue is in chaos, implementing a tried-and-tested priority matrix is one of the simplest and fastest things you can do with a&nbsp;<a href=\"https:\/\/assyst.ifs.com\/solutions\/it-service-management\" target=\"_blank\" rel=\"noreferrer noopener\">modern ITSM solution<\/a>\u2014and it can have a profound impact on IT productivity (and the way the rest of the organization perceives IT).<\/p>\n\n\n\n<p>SOURCE: Hannah Mandapat (2021 May 28) What next?
